A highly successful and growing wealth management firm located in Charlotte, NC is seeking and extremely organized, detailed and a self-starter to work in an office with a small and growing team in the servicing of current and prospective client relationships. They will also ensure efficient work flow and timely execution of client requests and administrative needs. In addition, manage the office to ensure it is running smoothly.

Role and Responsibilities:

  • Perform diverse functions and executive administrative support for wealth management firm Advisors
  • Ensure assigned projects and work are prioritized, organized and completed effectively, efficiently and on time, from start to finish, without a lot of supervision
  • Edit and proof-read emails, newsletters, publications, PowerPoint presentations and other content
  • Automate functions to enhance customer experience
  • Provide a lasting positive impression on clients, potential clients, vendors and business associates
  • Manage calendar, travel plans and other related tasks
  • Client engagement: Ongoing communication, meeting follow-up, new client paperwork, organize and manage client information and paperwork
  • Update various reports and analysis in preparation for client reviews
  • Provide operational and administrative support to advisors as needed
  • Data entry for proposals and draft letters and other documents
  • Order supplies, ensure office is organized and running smoothly
  • Make coffee and provide refreshments and a comfortable setting for clients

Skills Needed / Desired:

  • Ability to take initiative and is a self-starter, willing to learn
  • Prefer a financial services, wealth management or banking industry or similar industry background and welcome a recent graduate who has some experience
  • Highly organized, meticulous and detail oriented
  • Ability to juggle multiple tasks at one time
  • Demonstrated excellent prioritization and organizational skills
  • Ability to work cohesively with executives and team members
  • Well developed problem-solving, judgment and critical thinking skills
  • Ability to deliver highest level of customer service and have a positive and helpful attitude
  • Strong people/relationship skills
  • Strong professional presence
  • Proven ability to meet deadlines and be self-motivated
  • Ability to maintain highest level of confidentiality
  • Strong work ethic with ability to take initiative and think ahead

Technical Skills: Skills in Microsoft Office - Outlook, Word, PowerPoint and Excel required. Sales Force CRM a plus.

Education: Degree a plus
